Rental Terms & Conditions 


PICK-UP AND RETURN
Event rentals may be picked up from Spotlight Events up to 2 days prior to your event date and returned the next business day following your event.
Your scheduled pick-up and return time frames will be confirmed 2 weeks prior to your event date.

The pick-up and return location for all rental orders is:

DELIVERY & RETRIEVAL
We offer roundtrip delivery and retrieval for rental orders for $300 in the Vancouver Lower Mainland. Delivery/Retrieval is subject to availability. Additional fees may apply for complex delivery/retrieval logistics, late night hours and/or delivery locations more than 60km outside Vancouver.

Delivery and retrieval times must be confirmed at least 2 weeks prior to the event date.

TRANSPORTATION & STORAGE
Rental items must be transported in a closed vehicle at all times. Open-bed trucks or trailers are not permitted for transporting or storing rental pieces. All items must be stored in a secure location during the rental period.

After the event, the rentals must be securely re-packed using the packing paper and bins provided. All packing paper and bins must be returned with the rentals or replacement fees will apply.

Large furniture rentals are currently available with a delivery and retrieval service only. In some cases, exceptions to this policy may be accommodated. Please contact us to discuss the possibilities.

ORDER MINIMUM & RATES
A minimum rental order of $1000 applies to events between June to September for rentals only. This minimum does not apply to Spotlight Events Full Planning, Design, Day of Coordination or Corporate Event Management clients.

Rental rates are subject to change without notice. We will honour rental pricing on order quotes that are confirmed with a retainer payment.

STANDARDS & SUBSTITUTIONS
For rentals that include pillar candles, we re-purpose pillar candles with more than 50% life remaining to prevent excessive waste. If you would like to request fresh pillar candles for your event, an additional fee of $2.50 per candle will apply. Votive candles, tealights and floating candles are always fresh.

Any custom-built event pieces will remain the property of Spotlight Events, unless otherwise advised by the Event Planner

We reserve the right to substitute similar pieces for event rentals if necessary due to unforeseen circumstances.

LOST OR DAMAGED ITEMS
Reasonable wear and tear is expected with all event rental pieces. Large stains, excessive damage or lost items will result in a full item replacement fee charged to the client. Damage details and replacement fees will be advised within 7 business days of the event date, unless otherwise advised by Spotlight Events.

AGREEMENT
By providing payment and proceeding with your rental order, you agree to all terms and conditions herein.
