Are you planning a Vancouver wedding? If so, then just like the weather in Vancouver, you know that things can be unpredictable. What’s the best way to combat unpredictability and ease anxiety? A well-thought out wedding day timeline! Every time our couples see the flow of their wedding day on paper, their stress melts away! It’s one of our favourite points in the wedding planning process

But if you’re more the DIY type, or want to get a head start, here are 5 Tips for Planning your Wedding Day (from your trusted Spotlight Vancouver Wedding Planner 😊


Tip #1 – Consider Your Wedding Venue’s Access Times

We always recommend starting with the times that are already set. Your venue will have defined access times for vendors and guests. Typically you’re going to need about three hours minimum before guests arrive for vendors to load-in, set-up, and make sure everything is perfectly ready to go for their arrival. If you have two separate venues for your ceremony and reception, this can make things logistically more complicated (remember: your vendors can’t be in two places at once!).

Tip #2 – Decide on a First Look for your Wedding

In addition to the beautiful wedding photos and intimate experience, the first look craze serves a logistical purpose for a wedding day too. By seeing each other before the ceremony, you’ll also take all your formal portraits with your photographer then too (as a couple and with your wedding party). This part of the day usually takes about 1-2 hours, so by deciding on a first look, you’re also deciding how much time you need between your ceremony and reception for photos. 

Pro Tip: Include your photographer in this conversation, they’ll likely have recommendations based on lighting, locations, and timing.

Tip #3 – Work off Your Wedding Ceremony Time

Your ceremony time works as an anchor in your wedding day timeline. This is the time that will go on your wedding invitations so guests know when to arrive. Use it to work backwards and see what time you need to start getting ready (consider how much time is needed for hair and makeup or barber appointments), and to work forwards to determine what time your reception will begin and dinner will be served. Remember that 1-2 hours for photos. 

Tip #4 – Add Buffer Time in your Wedding Day Timeline

Leave some space to breathe in your timeline. Things often take longer than expected, and on such an emotional day, you’ll thank yourself for having a few extra minutes to rest, snack, or reflect on the moment.

Tip #5 – Ask Wedding Vendors for Input

No two vendors are alike. Different companies will have different policies and requirements for timing and logistics. Make sure you include each vendor in the discussion to avoid issues down the line. Remember your vendors are the pros, so lean on them for help. Re-open BC weddings and events with a safety plan
 

An open letter to Minister Adrian Dix, Minister Ravi Kahlon, Minister Mike Farnworth, Minister Selina Robinson, Minister Melanie Mark, and Dr. Bonnie Henry on behalf of the British Columbia Wedding and Event Industry Association.

Dear Minister Dix, Minister Kahlon, Minister Farnworth, Minister Robinson, Minister Mark, and Dr. Bonnie Henry,


The BC wedding and event industry has been working tirelessly to petition our provincial government to allow our sector to re-open under specific safety guidelines and protocols. Unfortunately, as an industry made up of small-medium sized businesses, our voices have not been heard over the past two years, and continue to not be heard.

According to BC Vital Statistics, there were nearly 24,000 weddings in BC in 2019. An average wedding in BC costs about $50,000. That's $1.2 billion dollars per year generated by our industry from weddings alone. This doesn’t take into account any other types of personal celebrations. Nor does it take into account corporate events, community events, or charity events. The business meetings and events industry estimates their operations generate $4.5 billion per year in the province.

Despite this massive contribution to our economy, our industry has been ignored. Over the past two years, we have barely been acknowledged by health officials and the media. While restaurants, gyms, and sporting venues have made headlines, we have been invisible. Dr. Bonnie Henry regularly speaks about working alongside many of BC's other sectors. Our industry has not been given this same opportunity at any point during the pandemic response.

That $1.2 billion per year is generated largely by small-medium businesses. For the past two years, these businesses have been decimated. When weddings and events are shut down, the impact on our industry extends 6-12 months minimum beyond the lockdown period. We cannot reopen and close overnight like a restaurant or gym. The average loss of revenue across our industry has been 70%-90% consistently since March 2020. Many well-established companies have filed for bankruptcy and the number of jobs lost is in the tens of thousands. Since the start of the pandemic, we have seen zero economic recovery

As long as health order restrictions on organized events and gatherings continue to flip flop, we will not begin to recover. With each shutdown and change in restrictions, we suffer the loss of contracts, deferred revenues, refunds, and a lack of new business because of the uncertainty around future health orders. The industry cannot sustain the uncertainty any longer.

Adding to the hardship, businesses across our sector that applied for the COVID Closure Relief Grant are now being denied eligibility. The eligibility issue is due to a lack of consideration by the provincial government for how our industry operates and the nature of our business structure when they created the grant criteria. 

It’s hard to fathom how our industry has been completely shut down by government mandates since December 22, 2021, and no financial assistance has been provided to us.

Just as any other industry can operate safely under specific restrictions, so can weddings and events. Events run by professionals function no differently than restaurants, malls, group fitness, casinos, sporting events, movie theatres, and more. We have already implemented safety plans and executed events successfully over the course of the pandemic without any COVID cases connected.

Despite continuous efforts to be heard by our local MLAs and the health office, we have been dismissed, belittled, and ignored. Our government's lack of confidence in our professional multi-billion dollar industry has become unacceptable. Dr. Bonnie Henry's recent remarks about events and gatherings show that she and the provincial government are profoundly misinformed about the way our industry operates. 

To be clear, we are not talking about throwing a “party.” We are asking to operate professionally managed indoor events and gatherings under specific guidelines and restrictions. We’re welcoming government, WorkSafeBC, and Provincial Health Authority oversight to make sure we have protocols in place to operate our events safely for everyone involved. We cannot understand why this was a reasonable request for every other industry—movie theatres, casinos, restaurants, Canucks games, shopping malls, concerts, fitness classes, gyms—but not ours.  

We demand equal treatment with all other industries currently operating under provincial health guidelines. As such, we are asking Dr. Bonnie Henry, Minister Adrian Dix, and our provincial government for immediate consultation with our industry and a plan for the safe re-opening of BC weddings and events once and for all beginning on February 16.

To support this effort, we specifically request the following action steps:

  1. The release of a detailed PHO on gathering events to include a distinction between professionally managed and non-professionally managed indoor gatherings and events, and specific restrictions based on clearly defined event formats. (For example: We don’t understand the difference between a "sponsored or ticketed party" and a "sponsored or ticketed event").

  2. Revision of the current misinformed and confusing terminology of “personal gatherings,” “organized indoor events,” and “organized indoor events at venues” being used by the provincial health office.

  3. A designated roundtable working group of event industry professionals to serve as advisors to the health office and to be consulted on the above two initiatives and all future event-related policies.

Additionally, a formal petition is currently collecting signatures here.

We will not survive one more shutdown.

What is one of the most important aspects of planning your wedding? Location, location, location! Choosing the perfect venue for your wedding can be really difficult because there are endless options, but there are also some limitations. As you plan your Vancouver wedding, it’s important for the venue to be available, accommodating, on budget, and aligned with the overall wedding vision.


Vancouver Wedding Venue Capacity: How many guests can you fit?

This is the easiest factor for determining if a venue is the right fit for you or not. Start with a rough guest list to see how many people you’ll be inviting. Before spending too much time researching all the details about a given venue, make sure it can accommodate your number of guests. You may also find that venue capacities help you make guest list decisions.

Vancouver Wedding Venue Budget: How much will it cost?

We all know that “A” always comes before “B”, but let’s get the “B” out of the way first by drafting out a budget for your wedding and venue. By doing this first, you’ll have a much clearer idea of which potential venues are within your price range so you don’t go over budget.

Availability of Your Vancouver Wedding Venue:

One of the biggest struggles for any Vancouver wedding planner is availability! Especially after years of pandemic postponements, many venues book 1-2 years in advance for popular dates. Depending on the specific day of the week, time of day, and season of your wedding, your dream venue may not be available (or may cost a premium due to popularity).

Accommodations at the Wedding Venue:

When it comes to accommodations, these are some questions you should bring up when meeting with various venues:

  • What items are included in the venue rental? (For example: tables, chairs, linens, dinnerware, etc.)

  • Is room set-up and take down provided by the venue?

  • Will parking be a problem for your guests?

  • Is there a “bridal room” or area to refresh?

  • Will the venue work well with your vendors or will there be any restrictions that come up?

  • Are you able to bring in your own catering and alcohol vendors?

  • What time must your event end by, and are there any noise curfews in the area?

Alignment with your Wedding Vision:

Does the venue fit the “vibe” or the vision of your wedding? Every bride and groom should have their vision brainstormed and ready to bring to life because the venue is where all the magic will take place. We also suggest working with your venue when it comes to your wedding design (think colours, textures, style).

After careful consideration and planning, we're excited to announce the return of our studio workshops! We've put some new regulations in place at the studio to ensure the safety of everyone. Please read carefully before joining any upcoming workshops.


YOUR SAFETY IS MOST IMPORTANT

  • We have reduced our studio workshop capacity to 10 attendees to allow for physical distancing.

  • All contact surfaces will be sanitized before and after the workshop.

  • Hand sanitizer will be provided at the entrance of the studio and at each workstation. Please use the hand sanitizer upon entering the studio, and regularly sanitize throughout the workshop as needed.

  • All workstations will be set-up 2 meters apart.

  • Coming with a friend? If you're attending with someone in your bubble, please purchase all tickets on the same registration. Your party will be seated together and physically distanced from other attendees. Maximum party size is 6.

  • Participants and/or parties must maintain a 2 meter physical distance from other participants in the studio at all times.

  • All participants and instructors are required to wear a mask or face covering in the studio.

  • If you're feeling ill or have been in contact with someone who has been ill, please cancel your registration and do not attend. Workshop seats will be fully refunded to anyone who cannot attend due to illness.

COVID-19 Update for Summer 2020 Weddings

To our clients, friends and industry partners,

Well, the day has come that I have to send out this dreaded message. I think we were all holding out hope that the COVID-19 outbreak would be contained enough by this summer for large gatherings and weddings to carry on as planned. The uncertainty of the situation has been difficult for everyone to navigate, but also allowed for that cautious optimism that kept many wedding and event plans in place.

Over the weekend, we received a big and very relevant update from our Provincial Health Officer. In the April 18 press briefing, Dr. Bonnie Henry directly addressed the questions surrounding large gatherings planned for this summer, including weddings, funerals, graduations and other milestone celebrations, as well as mass public events and festivals (such as the PNE).

In response to questions about weddings and celebrations, she stated, "think about how we can celebrate important milestones in our lives in a way that allows us to have a safe distance.” 

Regarding larger public events and festivals, she advised that "those types of mass gatherings of people together... this is not the time for that and it’s not going to be through this summer.”

We've also summarized Dr. Henry's key remarks related to weddings below:

“In terms of those smaller events like weddings and family parties and anniversaries and graduations - again, this is a very challenging time and I know it’s really hard for people to think about having these events without getting together. But we’ve found some really innovative ways of doing that.

So, I would tell people to think small. We’re not going to be having large gatherings. We know that those are the types of events that this can be transmitted. Particularly funerals - those family celebrations when we spend time together - weddings and parties where we share food, where we hug and where we care for each other in a very close way - unfortunately, right now those are the things that are risky.

So I think we need to start thinking about planning small events, looking at how we can bring people together virtually, how we can support particularly our seniors and elders who are most at risk. Support them being involved without being physically together. And there’s lots of great ways that people are starting to do that, and we need to think about how do we do that through the summer.”

So, what does this mean? (aside from the obvious)
First off, we need to keep in perspective that these restrictions are important for the safety and health of our loved ones and communities. They do have unintended negative effects that we all must work through, but we can find strength and perseverance knowing we're all in this together, and we WILL celebrate together again one day - in person, as a large gathering.

We're sad for all the couples and celebrations that are impacted by this latest update. We know this is going to be difficult to process and find the best way forward for each individual couple and family. We at Spotlight are here to do as much as we can to make the planning transitions as smooth as possible.

Here are some possible options for couples with large traditional weddings planned in summer 2020, as well as what we're offering our clients for each scenario:

  • Reschedule your wedding as planned to 2021 or later. If you choose to go this route, your Spotlight retainer payment will be applied to our services and/or any rentals on your new date, provided we are available. If we're not available, we'll work with you directly to find an alternative solution based on each client's individual circumstance.

  • Postpone your wedding indefinitely or to a not yet determined date. If you know you'll be moving ahead with your wedding, but need more time to sort out your alternative plans and a new date, we can hold your retainer payment as a credit for up to 2 years. Keep in touch with us about your decision process and we'll support along the way.

  • Get married on your original date with an intimate ceremony celebration. A ceremony celebration or "micro wedding" would still include all the special elements of a traditional wedding, but on a micro scale. This can be done at a park or at home. The ceremony celebration could also be live streamed for extended friends and family to share in the moment, and/or professionally filmed and shared later. Your retainer payment can be used towards any rentals from our collection to help make your intimate ceremony a beautiful setting, as well as any delivery, set-up and take down.

  • Reschedule your reception only. If you choose to have an intimate ceremony celebration, you could also reschedule your reception only to 2021 or later. In this case, your retainer can be used towards any services or rentals for both the intimate ceremony this year and the reception celebration on a future date.

  • Book a Spotlight "all inclusive" ceremony celebration package. We are putting together some elopement packages to offer a beautiful ceremony and mini celebration for those interested in going that route. We know you’ve probably already spent many months planning your wedding and feel emotionally exhausted at the thought of changing everything. Our intention is to create a customized elopement package that makes your mini ceremony and celebration as breath-taking and memorable as your large wedding vision. Packages will be a la carte to suit each couple's specific requirements, offering options for officiant, hair & makeup (maybe), bridal bouquet, groom boutonnière, photography, videography, ceremony decor, plus coordination, delivery, setup and take down.


If none of these options feel like the right choice for you, don't hesitate to reach out.
 As everyone keeps saying, these are unprecedented times and certainly extenuating circumstances for all. We have put a lot of thought and consideration into the evolving situation, and refunds may be a possibility for those with unique circumstances where none of the alternative plans noted above are an option. We are here to support you and are prepared to do whatever we can as a business and as friends to help get you through this time. In return, if there's anything you can do to support our small business during this challenging time, that would be so greatly appreciated as well.

What about weddings and events planned for fall 2020 and later?
Our advice for anyone with a wedding or event planned for fall 2020 is to also start working on a backup plan. We still would cautiously advise a “wait and see” approach for dates in October and later, but the more prepared we all can be, the better.

What we know is that the Provincial Health Officer has stated many times that we’ll be in some form of physical distancing until there’s a vaccine, which could be 12-18 months or more. We’ll begin to see in May and June what loosening some of the physical distancing restrictions looks like. What businesses and activities will re-open and what new measures will be put in place to make “normal” activities safer. This should help to give some indication on what the future will hold in fall 2020 and 2021.

A message from our founder re: COVID-19


To our valued clients, friends and industry partners:

As everyone is exceedingly aware, we are in some very unprecedented times amidst the COVID-19 pandemic. The event industry is directly impacted by the federal and provincial government orders announced this week to keep everyone safe and healthy. Within the industry, we are all doing our best to navigate the circumstances, adhere to all government directives and adapt our business operations accordingly. 

At Spotlight Events, our top priority right now is doing our part to "flatten the curve" and keep our families, friends, neighbours, colleagues and clients safe and healthy. This is the same priority we've heard embraced by all our fellow industry professionals and vendors.


What this means for our team and operations:

  • Our studio hours remain on a "by appointment only" basis.

  • All in studio workshops and events have been indefinitely postponed.

  • We are only conducting meetings and consultations by phone or video call for the time being.

  • Our team is continuing to work remotely from home.


What this means for our clients and fellow industry professionals:

  • As per the Provincial Health Officer's orders, we are officially advising that any events scheduled before May 30, 2020 postpone or adapt plans to meet the current federal and provincial health guidelines. Adapting plans could mean changing events to an online or digital experience.
    For reference, here is a link to the Provincial Health Officer's Class Order (mass gatherings) re: COVID-19.

  • For events scheduled after May 30, 2020, we're cautiously advising a "wait and see" approach. As the situation is evolving, we'll do our best to update you on this advice.

  • For our clients facing event postponement, your contract and deposit can be transferred to a new date. Event rescheduling is subject to our team's availability on the new date.

  • If we do not have availability on your new event date and you decide to end your contract, your deposit is non-refundable but will be held as a credit for any event services or rentals within the next 2 years, or transferred to someone else of your choosing for any event services or rentals within the next 2 years.


What this means for our inquiries and future clients:

  • For the time being, we will continue to accept new bookings for events scheduled in July 2020 or later.

  • We are also temporarily amending our contract to offer refundable deposits up to one month prior to the event date for new event bookings scheduled between July 1, 2020 and August 31, 2020. We'll continue to monitor the situation and review this policy as necessary.

  • The reason we're not able to offer deposit refunds for current clients is that those non-refundable deposits are collected to secure the resources, staff and supplies required to maintain our business capacity and carry out our ongoing operations effectively. Regretfully, we do not have the ability to amend payment terms on previously generated invoices. This is why we're implementing the option to hold non-refundable deposits as a credit for 2 years or transfer the deposit to someone else for services or rentals within that same period.


Most importantly, Spotlight Events was founded on a passion and love for gathering together, building connections and creating unforgettable experiences to share. In a time when we MUST practice social distancing and isolation, we are committed to remaining connected to our community. We're endlessly grateful for technology, social media and the digital world allowing us to come together and support one another, even when we cannot gather in person.
